Generating Contracts & Taking Payments

Step 1: Finalize Fulfillment & Payment Details (Screen 4)

Before generating any documents, you must tell the system how the order will be fulfilled and paid for.

  1. Fulfillment Type: Select either Delivery or Pickup.

  2. Address: If Delivery is selected, input the delivery address.

  3. Payment Plan: Choose the payment structure (50% Deposit, Full Payment, or Custom Amount).

Step 2: Choose Your Contract Method

You have two ways to get the contract to your customer. Choose the one that fits your current interaction:

Option A: In-Person (Print, Download, or Screen Share) Use this if the customer is sitting in front of you.

  1. Click the blue "Generate Invoice" button.

  2. A PDF of the contract will open in a new browser tab. You can print it, download it, or show it to the customer.

  3. Note: Every time you click this button, an un-signed copy of the PDF is automatically saved to the Attachments section of your HubSpot Deal.

Option B: Remote (E-Signature via BoldSign) Use this to text or email the contract.

  1. Type the customer's contact info into the "Email or Mobile Phone" field.

  2. Crucial Step: You must select a future date in the Expiration Date section.

  3. Click the "Send for E-Signature" button.

4. 🚨 CRITICAL: Click "Save & Submit"! Once you send the E-Signature, you MUST click the "Save & Submit" button at the bottom of the screen. If you skip this, MySalesHub will not save the Document ID, and the system cannot track the signature.

5. Tracking: You can close the window. HubSpot will automatically email you the moment the customer signs it. You can retrieve the fully executed PDF by logging into the shared BoldSign account under the "Behalf Documents" folder.


Step 3: Processing the Payment

🛑 The Golden Rule of Payments: The system cannot process a payment unless there is a signed contract on file. Secure the signature first.

  • Native Payments: Process directly through the MySalesHub integration.

  • Outside / Manual Payments: If you are taking Cash, a Check, using physical terminals, or sending a ValorPay link, click the "Enter Manual Payment" button.

🚨 Receipt Requirement: If you process a manual payment, you must upload the receipt or proof of payment directly to the Attachments section of the HubSpot deal.
